Run of show
A run of show is the working event schedule for the crew, with timings, segment owners and production notes beyond the audience programme.
The crew’s working schedule
A run of show sets out the sequence of an event and the details the working team needs to deliver it. It normally includes planned times, durations, speakers or performers, segment owners and notes for sound, lighting or stage changes. It goes beyond a guest-facing programme by explaining what must happen before and between the visible moments.
Make it readable under pressure
Use clear names and one consistent time format. Identify the event, venue, date and document version. Separate a scheduled start time from the trigger an operator should follow, such as a presenter’s introduction. Include access, rehearsal and equipment collection in the wider production schedule, even if they sit outside the performance running order.
Keep one current version
Assign someone to approve and communicate changes. A shared document is helpful only when the team knows which version is current and how live updates will be called during the event.
