Describe the format of the programme
A presentation, panel discussion, launch and staff celebration have different technical priorities. List the number of speakers, how many speak at once and whether they use a lectern, move on stage or take questions from the audience. Note any performances or awards between the speaking sessions. Share the working programme and identify the person who can approve changes to slides, videos and the running order.
Match the production to the room
Send the venue, guest count and proposed seating layout, including any stage, screen and sound-control positions. Ask what equipment the venue supplies and whether an operator is included. The production team needs to understand the whole audience area and the intended use of each space. If the programme includes remote participants, recording or a livestream, name the provider and agree that part of the technical scope explicitly.
Prepare presentations before the technical check
Collect the final presentation files and identify which videos or demonstrations need audio. Agree who advances slides and how presenters hand over to one another. A rehearsal gives speakers time to try the microphone and lets the operators check playback and transitions. Include time for this in the venue booking instead of relying on a brief check while guests enter the room.
Create a focused production enquiry
Provide the date, Lahore venue or shortlist, audience estimate, speaker count and services required. Add any language, accessibility or camera requirements that the crew should discuss with the organiser. The team reviews the brief and confirms equipment, staffing and availability before booking. Keep the venue and presentation contacts involved so that room requirements and the technical schedule are agreed together.
