Begin with who needs to be heard
Write down each speaking format: a presenter at a lectern, someone walking on stage, a seated panel, audience questions or a remote guest. Count how many people may speak at the same time, not just how many names appear on the programme. Tell the production team whether the event is in a single room or has simultaneous breakout sessions. These details help define the microphone and operator requirements before equipment is selected.
Share the real room arrangement
Send the specific Lahore venue and room name, expected attendance, seating layout and position of the stage or lectern. Include where audience questions will come from and whether there are separate listening areas. Speech reinforcement needs to serve the audience throughout the intended area; a larger equipment list alone does not establish that. Ask the venue what audio equipment is already installed and which parts of the event require additional production support.
Plan presentation playback as part of the programme
Ask speakers whether their slides include audio or video, and which laptop or playback device they intend to use. Collect the final files through the organiser’s agreed process. Record whether the presenter or an operator will advance the slides, who will start each clip and what happens if a file does not play. If there are remote contributors, recording or a livestream, describe those requirements separately rather than assuming they are included in room audio.
Use rehearsal to resolve handovers
Invite speakers to test the microphone style they will actually use and the position from which they will speak. Rehearse the change from a presentation to a panel, and from a panel to audience questions. Assign someone to distribute and collect handheld microphones. Give the operator the chair’s name, speaker order and planned introductions. A clear handover prevents the next segment from depending on someone finding an unassigned microphone at the last moment.
Confirm the scope before the event
The final brief should state setup and rehearsal access, the programme, microphone roles, playback requirements, expected audience and the person approving changes. Ask for any necessary production support to be priced against that brief. Confirm the venue’s installed equipment and the outside supplier’s responsibilities in writing. For a Lahore hotel conference, identify the actual booked room and layout; a property-wide capacity figure is not a production plan for your session.
