Distinguish a ballroom from a breakout room

Marriott publishes separate entries for Crystal Ballroom A and B, Grand Ballroom sections and smaller conference rooms. If your programme uses more than one space, state whether sessions run simultaneously or follow one another. Each active room needs a clear responsibility for speech, playback and technical support. Moving a session does not automatically mean its equipment can be moved within the available break.

Map the speaking positions

For a panel, list the moderator, panellists and audience question format. For presentations, identify lectern use, any speaker moving around the stage and the source of video audio. Share the room layout with the camera or recording team if the event is being captured. Agree who checks presentation files and who gives the cue to start each session.

Use the venue’s current access instructions

The hotel publishes a separate ballroom entrance, but the booking team should confirm the correct supplier route for your date and room. Request the equipment delivery point, setup window and any crew information needed in advance. Keep a technical rehearsal before delegate entry, and ask how a room change or extended session affects the clearance deadline.

Prepare an F-5 production enquiry
