A G-5 enquiry should identify the exact room or combination of spaces instead of relying on the property’s overall event description.

Name every room in the programme
List the main session, registration area and any smaller meeting or reception spaces separately. If a ballroom is divided, specify the section booked and obtain the event-specific floor plan. A room name alone does not show where a stage, camera platform or interpretation position can fit. Ask the hotel to reconcile the proposed production positions with the seating and guest routes.
Coordinate simultaneous sessions
If a conference has breakout discussions, allocate microphone and playback requirements to each room. Note whether remote speakers, recording or presentation audio are required. Ask the hotel which services are included in its package, then agree where any additional production equipment connects. Prepare one contact list covering the organiser, venue and each technical supplier, with someone responsible for approving programme changes.
Treat a second venue as a separate booking
Serena describes its location as opposite the Convention Centre, but that does not make the two properties a single event site. If your programme uses another venue, give it a separate address, booking contact and schedule. Check how people, presentation files and equipment move between sessions; avoid assuming that access permission or a technical arrangement at one property applies to the other.
Share the G-5 details before quoting
