Planning music and entrances for a mehndi

Organise mehndi entrances, dance tracks, speeches and live music with a clear running order, playback list and sound-and-lighting brief.

01

Build the plan around the moments that matter

Start with the moments your family wants to include: arrivals, an entrance, dance performances, speeches, dinner and any live music. You do not need every minute fixed at the first enquiry. Give each moment a provisional place in the order and identify the person who can confirm when everyone is ready. The production brief should explain what the sound and lighting need to do, alongside the family’s wider event plan.

02

Make one approved music list

For every entrance or performance, record a clear file name, the exact version of the track, who supplies it and where playback should start and stop. If a dance uses an edited medley, send the final approved file rather than several messages describing the edit. Agree the file format and transfer method with the playback operator, and provide only material you are authorised to use. Test the actual files before the event.

03

Give each cue a person and a trigger

“Play when they arrive” leaves too much open. A clearer cue names who gives the signal and what they are watching for, such as the entrance party reaching an agreed waiting position. Ask the organiser, photographer and production lead to agree the important transitions together. Decide what should happen if someone is delayed, a dance is skipped or a speech is added, without requiring several relatives to give competing instructions.

04

Describe the room and the performance space

Share the Lahore venue’s exact hall or lawn, expected guest count, seating plan and intended dance area. Tell the crew whether the programme includes live vocals, instruments or only recorded music. Explain where speeches will happen and whether the microphone must move around the room. Lighting for a dance moment and lighting for a clear photograph can have different needs, so flag both early instead of relying on a single reference image.

05

Keep the last version easy to recognise

Name one family coordinator and one event coordinator, if you have one. Before rehearsal, combine the approved music list and running order into a dated document. Ask performers to confirm their track and position; changes after that point should go through the nominated coordinator. Hamid Sound can discuss a production brief for the planned moments, while venue hire, décor, catering and any wider wedding arrangements need their own confirmed responsibilities.
