Identify the venue precisely
Share the club or hall name, phase, sector and a location pin supplied by the venue. The official DHA listing distinguishes venues in different phases; it should not be read as one interchangeable event complex. Ask the booking team to confirm the space you can use, the current seating layout and the conditions of the booking. A reference to a nearby club or a previous event does not establish permission for your chosen location.
Build the brief around the occasion
For a wedding or private celebration, list the DJ, family performances, speeches and entrance music that require technical support. For a community or corporate programme, identify the speakers, presentation sources and audience-question format. Add the proposed audience arrangement and any stage or dance-floor area. If the venue supplies part of the setup, obtain its technical details before requesting additional sound or lighting.
Ask about the crew’s arrival and working window
Agree which entrance the production team should use and which venue contact will meet them. Ask whether the organiser needs to provide crew or vehicle information in advance, rather than assuming a particular access process applies to every phase or club. Confirm unloading arrangements, setup time, rehearsal and the agreed finish directly with the chosen venue. Keep those details alongside the running order so they are easy for the organising team to share.
