Compare named spaces, not venue headlines
A venue name may describe several halls, lawns or auditoriums. Start with the specific space, proposed date and seating layout. Published capacities can differ between theatre seating, round tables and receptions, so compare the layout your event actually needs. In Lahore, even similarly named arts venues can refer to separate campuses: the Alhamra Mall Road halls and Cultural Complex at Gaddafi Stadium should be identified precisely in the brief.
Draw where the event will happen
Mark the stage, audience, sound desk, screens if planned, entrances and any separate activity areas on a simple plan. For a seated dinner with a performance, show both the tables and the performance area. For a campus lawn, establish the intended audience boundary with the organiser and venue. Ask the venue to confirm the final usable layout; a published room size does not tell you how much space remains after all event elements are placed.
Ask different questions indoors and outside
Indoors, discuss the room’s existing sound system, ceiling restrictions, backstage space and access for equipment. Outside, establish who makes weather decisions and what alternative arrangements have been agreed. Neither setting is automatically simpler. Share the venue’s current requirements with the production lead, and let the responsible venue and technical professionals assess the proposed setup. Do not treat an attractive photograph or a previous event’s layout as confirmation that your own plan is suitable.
Check the access and timing together
A workable room can still be difficult to produce if equipment access begins too late. Ask when the crew can unload, when the space will be clear of another event and how rehearsal fits before guests arrive. Confirm the loading entrance and any stairs, lifts or shared delivery routes. Keep the audience finish time separate from equipment collection time. Record which venue contact can resolve access questions on the day.
Turn the shortlist into a production enquiry
Send the shortlisted venue names and exact spaces, expected guest count, programme format and a few current photographs. Include what is already booked and what remains open. The Hamid Sound directory can help compare published room information, but it does not reserve a venue or establish current availability. Ask the venue to confirm hire terms and its approved layout; then discuss sound, lighting and staging against that agreed plan.
